Who is Spellzone?

Spellzone is a long established, online English spelling resource suitable for students aged six to adult. It is used worldwide by schools, colleges, adult education centres, private tutors, families and individual students.

Spellzone works hard to make sure that all our users, especially young people, have a positive and safe experience.

What is a Privacy Notice?

A Privacy Notice tells you what Personal Data we collect about you, how we use it and what you can do about it. This Privacy Notice is designed for children and young people; you might want to read it with your parents, guardians, or a teacher.

We may change some of the things we say here about what we do with things we know about you. We will tell people about any changes on the Spellzone website. If you keep using the Spellzone website, this will mean you are OK with those changes.

What is Personal Data?

Anything that can identify you is your Personal Data. This could be your name, address or a photo of you, but it is also things like your email address or your online gamertag. There are some types of data known as Special Category Data. This could be something like your date of birth, an illness you have, or what religion you are.

Do you have a say in what happens to your Personal Data?

You have what we call 'rights' when we use your Personal Data. One of these is the right to know what we do with it. That’s what this document is for.

Why do we collect and use your Personal Data?

We will only collect your information when we need it to help us to provide you with our service, to answer any questions you may have, or to comply with the law.

We keep to what the law says about using and looking after information about people. The latest rules about this are called the The General Data Protection Regulation or GDPR, which are part of the law called the Data Protection Act 1998.

What Personal Data do Spellzone collect?

Spellzone does not collect any Special Category Data.

The sort of Personal Data we collect to provide access to the contents of the Spellzone website might be:

Your name. Your email address. The email address of a parent/guardian. Your school. The country you are from. Your Spellzone log in details. Our communications with you and your teachers or parents/guardians about your Spellzone activity. These could be emails and notes of telephone conversations (not recordings). Internet Protocol (IP) address and browser information.	Your Spelling Ability Test results. Your Spellzone course and word list activity and results. Word lists created by you. Teacher/student messages. These are the messages sent to you by your teachers and your responses from within Spellzone (not emails).

Who looks after your Personal Data?

A Data Controller is in charge of the Personal Data collected about you. The Data Controller decides why and how the data is processed and is directly responsible for complying with data protection laws, ensuring data security and upholding data subjects’ rights.

A Data Processor collects or uses Personal Data in accordance with the instructions of the Data Controller.

Can anyone else see your Personal Data?

Depending upon the type of account, your parents/guardians, tutors or your teachers may be able to see your Personal Data on Spellzone.

We do not allow you to post or share any information that might allow someone else to find out who you are. We also do not use the promise of a special game, prize, or other activity, to tempt you to share more information than is needed.

Some services on Spellzone are provided by other organisations known as ‘third parties’. We undertake checks before working with third parties to ensure they comply with the law and keep your Personal Data safe. This is called a Data Processing Agreement (DPA).

All data is stored and processed in the UK and EEA.

How long do we keep your Personal Data?

We only keep your Personal Data for as long as we need it. This is usually while your Spellzone account is active and for a period of 18 months afterwards. This is called the Retention Period.

All data is deleted after the Retention Period unless we are required by law to keep it.

Using the Spellzone website

Like lots of websites, Spellzone downloads tiny files called Cookies which are stored on your computer. They are designed to hold a small amount of data that remembers information about you (so you don’t have to give it to us again) and help with your overall website experience.

We also use Google Analytics to collect information about how our visitors use and navigate the Spellzone website. This information cannot identify you personally.

When you visit a page with content embedded from another website (such as YouTube), you may be presented with cookies from these websites. Spellzone does not control how these cookies are used. These cookies are set by the other websites if you are a user of those services.

You can stop your computer from having cookies put on it. The “Help” part of your computer’s web browser should tell you how to do this. It is best not to do this though, because stopping cookies can mean that websites like Spellzone won’t work so well on your computer.

Who makes sure we follow all the rules?

Spellzone has a Data Protection Officer whose job it is to protect your data; this person makes sure we do everything the law says we should.

When you ask us for information about your Personal Data, Spellzone may ask you for the following forms of ID:

For schools, colleges, and other establishments: official letterhead.
For families and individuals: a copy of your national ID card, driving license, or passport; and a utility bill not older than three months.

We may ask for more information before Personal Data can be released.
